Performance Measures and Report Formats

It is important that data measures and report formats are understandable to your board members, particularly those not directly involved or experienced in the business of the organization. Your board needs to work with management on the formatting of reports, because reporting capabilities may be limited by the capacity of your electronic information systems. The report formats must be organic, as they will need to be revised periodically based on regulatory, performance and reimbursement refinements that occur in the marketplace.

Corrective Action Plans

Ultimately, the reason for monitoring performance is to ensure that problems and issues are addressed in a timely manner. In doing so, your board has fulfilled its duty to oversee operations and maintain accountability for the president/CEO.

When KPI reports indicate an item needs to be addressed, your board must mandate that a Corrective Action Plan be developed. This plan outlines:

What steps need to be taken to fix the problem?

Which person is responsible for each step?

What is the planned completion date for each action item, and when is each actually completed?

Why are there variances to the plan?

The board reviews the Corrective Action Plan at each meeting to ensure that:

  • Progress has been made
  • Documentation is accurate and complete
  • Accountability standards are in place

Your board's message to management must be that an accountable process is in place to monitor performance improvement.
